Pre-Exhibition Preparation and Set-Up/Teardown Management

Badge Collection

1. For iPhone users: Download the WHX EVENTS app, log in using the email address you provided during badge registration, and have a one-time code sent to that email. After logging in, go to “My Badge Voucher,” scan the QR code at the exhibition venue, and print out your physical admission pass.

2. Users of Android devices or other phones that cannot download apps should access the website via their mobile browser at https://exhibit.whxevents.com/login. Log in using the email address you provided during badge registration, and enter the one-time code sent to your email. After logging in, locate “My Badge Voucher”; at the exhibition venue, scan this QR code to print a physical admission pass.

Booth Design and Construction

🧰 Booth setup, exhibit arrangement, and the placement of display fixtures, AV equipment, and backdrop panels must be completed by… Before 22:00 on February 9, 2026 Completed; exceeding the deadline will incur substantial overtime charges.

🧱 During the exhibition setup, do not damage the pavilion’s existing structure or facilities; unauthorized alterations to booth structures are prohibited, and unauthorized posting or drilling on wall panels or exhibit fixtures is strictly forbidden.

🧯 Fire hydrants, emergency exits, and electrical distribution panels in the exhibition hall must remain unobstructed. Flammable materials such as paint and thinners must be kept away from electrical distribution panels, and combustible materials may not be stored on exhibition booths or inside the exhibition hall.

🦺 Exhibition staff must comply with the management of the venue’s security personnel and, during setup and dismantling, must wear standard‑compliant personal protective equipment, including safety shoes and high‑visibility safety vests.

Exhibit Transportation and Storage

📦 The only designated logistics provider for the exhibition hall is DSV Fairs & Events LLC, responsible for on-site item handling and package delivery.

📦 All shipments must be delivered by the designated deadline. Please ensure that your booth has staff present to sign for the goods; neither the exhibition hall nor the organizer provides a signature‑on‑behalf service.

📦 During the exhibition setup, empty containers and waste must be temporarily stored at your own booth. Upon completion of setup, they must be disposed of collectively in the trash bins located outside the exhibition hall’s entrances and exits; they may not be placed in aisles, emergency exits, or on other booths.

📦 During the event, no goods or packaging boxes are permitted to enter the exhibition hall.

Exhibition Cancellation Request

⚠️ Please note: On the last day of the exhibition (before 5:30 p.m.) Exhibitors may not leave the exhibition early or dismantle/package their exhibits; violators will be subject to a fine.

⚠️ During dismantling, the booth must be thoroughly cleaned. Special waste and oversized or overweight debris require prior approval from the venue’s waste‑removal department. Posters and other promotional materials on wall panels and exhibition fixtures must be removed to prevent residue or damage.

⚠️ During the dismantling period, it is recommended to leave at least one person on duty at your booth; please do not depart until all exhibits have been handed over. The organizer shall not be held responsible for any loss of exhibits during this time.

Electricity Usage Services

Exhibition booth power must be switched on and off in accordance with the prescribed schedule. Any electricity used beyond the allotted time requires a prior application to the exhibition venue and full payment of the associated fees; please consult on-site staff for assistance.

Electrical Safety: Strictly adhere to the power‑on and power‑off procedures for opening and closing the facility (turn on the power 30 minutes before opening and turn it off 30 minutes after closing), and prohibit any unauthorized use of electricity.

Intellectual property

For exhibits involving trademarks, patents, copyrights, or quality certifications, exhibitors must provide valid certificates of rights or licensing agreements. The organizer strongly urges exhibitors not to display samples with unclear intellectual property status. Should any intellectual property disputes arise on-site, the organizer reserves the right to require exhibitors to remove exhibits subject to such disputes. For companies that continue to exhibit in violation of these requirements, the organizer reserves the right to seal off their exhibition booths.

Safety Reminder

  • Personnel Safety: All individuals entering the exhibition hall must wear appropriate personal protective equipment, including rubber-soled shoes and safety vests.

  • Persons under the age of 16 are strictly prohibited from entering the venue; please stay away from specially constructed exhibition booths, scaffolding, shelving, and other areas where objects may fall from height.

  • Facility Safety: Do not block fire exits or fire hydrants, and do not dismantle or modify exhibition hall electrical systems without authorization. Hazardous materials such as paints and thinners must be kept away from distribution panels, while empty crates and flammable materials must be removed from the exhibition hall and may not be stored behind booths.

  • Financial Security: Exhibitors are responsible for safeguarding their exhibits and personal belongings. The organizer shall not be liable for any theft occurring throughout the duration of the exhibition, including during setup, display, and dismantling. Valuables are advised to be carried on your person or securely stored.

Behavioral Requirements

  • Smoking Policy: In accordance with UAE law, smoking is strictly prohibited indoors. Smoking is also forbidden throughout the duration of the exhibition—during setup, the event itself, and dismantling—and violators will be subject to penalties under local legislation.

  • Catering Regulations: The exhibition hall has exclusive rights to catering services. Bringing in food and beverages from outside is strictly prohibited; all meals must be consumed in the designated dining areas.

  • Exhibit Management: During the first three days of the event, exhibits may not be removed, dismantled, or packed ahead of schedule before 6:00 p.m. each day; violators will be subject to a fine. During the exhibition, exhibits may not be sold without authorization.




PART 04

Entry and Documents

1. The United Arab Emirates has implemented a visa-free entry policy for Chinese citizens (effective November 1, 2016); however, customs authorities reserve the right to deny entry to individuals with adverse records or those on blacklists, and the immigration authorities retain the authority to refuse visas.

2. Upon arrival, you must present your original passport for an eye scan. A dedicated lane is available for women. During the process, keep your eyes wide open and ensure the entire iris is visible; the machine will complete the identification automatically. Photography is prohibited at this stage.

3. Please keep your original passport in a safe place and collect your luggage after completing immigration procedures.

Travel Advisory

Items to Bring

1. Bring your passport’s first page, your insurance policy, the invitation letter, and an electronic copy of your round-trip airline itinerary.

2. Bring an ample supply of brochures, posters, business cards, and other materials.

3. Mobile phones with international roaming enabled, chargers, power banks (with 3C certification), and UK‑standard adapter plugs.

4. Bring toiletries, appropriate clothing, and your regular medications (such as stomach remedies, allergy meds, and fever reducers) for emergencies.

5. Please do not place computers, batteries, or power banks in your checked baggage.

Cash and Payments

The official currency in Dubai is the UAE dirham (AED), with 1 AED approximately equal to 1.9 Chinese yuan. It is not advisable to carry large amounts of cash; the maximum amount of RMB in cash should not exceed 20,000 yuan, and the equivalent in foreign currency should not exceed 5,000 U.S. dollars. VISA, MasterCard, and UnionPay cards are widely accepted.

Time Difference and Weather

Time difference: Dubai is 4 hours behind China; the time there is Beijing Time minus 4 hours.

Weather: In February, temperatures range from 14°C to 25°C, with an average daytime high of 25°C. It’s recommended to wear lightweight, breathable cotton or linen clothing. For business meetings or formal visits, be sure to bring smart attire.

Dubai uses the same 220V, 50Hz electricity as China. (It employs the standard UK plug—three flat pins arranged in an isosceles triangle.)

Customs and Taboos

1. The United Arab Emirates is a Muslim country with Islam as its predominant faith. Muslims consider the right hand to be auspicious; therefore, they use their right hand when shaking hands, eating, or handing objects, and they enter homes and mosques by stepping in with their right foot first.

2. Smoking is strictly prohibited indoors (in compliance with UAE law), and smoking is banned throughout the duration of the exhibition.

3. Bringing food and beverages into the exhibition hall is strictly prohibited. Cafés, restaurants, and hotels (Novotel and Ibis) are available on-site and in the surrounding area to provide dining services.

4. In public, please observe proper etiquette, refrain from uncivilized behavior, and respect local religious and cultural customs.
