Preface

Medical Japan, the Japan International Medical Expo, is Japan’s largest comprehensive event for the medical and healthcare industries. The exhibition will be held from October 1 to 3, 2025, in Tokyo, Japan. As one of the most influential, large-scale, international B2B trade shows in Japan’s medical sector, it features seven specialized pavilions that comprehensively cover the entire medical value chain, including medical devices and supplies, hospital outpatient services, nursing and rehabilitation, pharmaceuticals, sports and wellness, and medical digitalization. To ensure a smooth experience during your participation and travel, we have compiled below some key information that may be relevant for your reference and preparation.

Starting at 17:00 on October 3, dismantling will commence, with cargo trucks entering at 18:00 to carry out disassembly and removal.


III. Entry Requirements

Carry with you: your original passport, a valid visa, your flight itinerary, and other relevant personal documents. Prepare paper copies in advance, and do not place them in your checked luggage!

Upon entering Japan, you are required to undergo immigration inspection and customs declaration. Cabin crew will distribute arrival cards and customs declaration forms on the aircraft; please complete them accurately based on your circumstances. After arriving at the airport, if you have items to declare, proceed through the red channel. You may set aside any items requiring declaration after collecting your baggage for easier submission. Passengers with no items to declare should use the green channel.


IV. Exhibition Guidelines

I. Preparation of Exhibitor Information

(1) To avoid any issues related to the confirmation and verification of documents or information during the exhibition, exhibitors are advised to prepare and bring all relevant exhibition-related documents prior to departure.

(2) The documents include: exhibition hall map, standard booth equipment, booth number, and more.

(3) Confirmation letters regarding the exchange of important information, along with contact details of key stakeholders (e.g., the person in charge of the exhibit‑transportation company, the person responsible for poster printing, etc.).

II. Intellectual Property Protection

Intellectual property disputes that frequently arise at trade shows typically involve design patents, trademarks, copyrights, or violations of the Anti-Unfair Competition Law due to imitation. Please ensure, prior to your trip, that you have properly prepared all relevant intellectual property documentation for the exhibits and promotional materials associated with this exhibition.

III. Exhibitor Pass

Exhibiting companies are requested to download the Exhibitor Badge with a QR code from the exhibitor portal, print a hard copy on A4 paper to bring to the venue, and save the digital version on your mobile device for on-site badge redemption. (We recommend bringing a business card as well.)

IV. Entry and Exit to the Exhibition Hall

Access to the exhibition center is by credential only. Please carry your exhibitor badge at all times; those without a valid badge will be denied entry. The exhibitor badge is for personal use only and may not be transferred.

V. Publicity Regulations

All giveaways, promotional flyers, and samples may only be distributed within the exhibition booth and must not occupy public areas. Exhibits and samples involving intellectual property may not be displayed; otherwise, the judicial authorities reserve the right to order their removal and to seal off any booth that refuses to comply.

VI. Control over the Outbound Movement of Exhibits

During the exhibition, no exhibit may be removed from the venue.

VII. Exhibition Cargo Transportation

1. For shippers, please maintain close communication with the freight company to stay informed of the shipment’s status at all times.

2. Please bring the relevant documents (or photocopies) for inspection, such as the delivery order, packing list, invoice, and so on.

3. Please leave empty containers at your booth and take responsibility for their safekeeping. Any empty containers or items left in the public aisles will be treated as waste and subject to a cleanup fee.

VIII. Storage of Exhibits and Personal Belongings

During the exhibition, please be sure to keep a close watch on your personal belongings and exhibits. Avoid carrying large amounts of cash, and store any exhibits or items left in the venue by renting a lockable locker. In particular, during entry and exit times, if any items are lost, please notify the organizing committee immediately so they can assist with the necessary procedures.

Tips for Japanese Exhibitors: As most Japanese visitors tend to be rather reserved, during the exhibition, it’s important to proactively invite them to visit your booth, offer samples, and exchange business cards.

V. Travel Advisory

1. Please bring your original passport (with at least six months of validity), visa pages, insurance policy, and electronic itinerary.

2. Bring the posters required for the exhibition setup, along with an ample supply of business cards and promotional brochures.

3. Mobile phone (with international roaming enabled), charger, power bank (3C-certified), and travel adapter.

4. Bring your toiletries and necessary clothing, and pack some of your regular medications—such as gastrointestinal remedies, allergy pills, fever reducers, and pain relievers—for emergencies.

5. Please do not place computers, batteries, or power banks in your checked baggage.

6. Time Difference: Japan is one hour ahead of China; the time in Japan is Beijing Time plus one hour.

6. Currency: Japan’s official currency is the Japanese yen (JPY). It’s recommended to exchange an appropriate amount of yen in China beforehand. 1 RMB ≈ 20.8 JPY (recent exchange rate, for reference only). When traveling to Japan, you may bring yen, but the total amount must not exceed 1 million yen; amounts exceeding this threshold require a customs declaration. For shopping, you can use UnionPay cards or credit cards bearing the Visa or Mastercard logo. Before your trip, it’s advisable to exchange some cash into yen domestically, or withdraw yen at Japanese convenience stores using a UnionPay card. In most Japanese department stores and drugstores, WeChat Pay and Alipay are widely accepted.

7. In October, Tokyo’s temperatures typically range from 16°C to 30°C, with average daytime highs around 30°C. It’s recommended to wear comfortable clothing such as T-shirts, lightweight denim tops and bottoms, casual outfits, or business attire. For business events or more formal meetings and visits, be sure to bring formal attire.

8. Local official language: Japanese; Main business languages: Japanese, English ( Many Japanese businesspeople may not be proficient in English, so exhibiting companies are advised to assign staff who speak Japanese or hire Japanese-language interpreters. )

9. When using chopsticks in Japan, avoid pointing at people, sticking your chopsticks upright in a bowl of rice, passing food directly from one pair of chopsticks to another, or tapping your chopsticks against your bowl or plate. Smoking is prohibited in most indoor public spaces, including restaurants and bars. Outdoors, be sure to use designated smoking areas. When visiting shrines and temples, observe local etiquette, such as washing your hands and rinsing your mouth before praying at a shrine and removing your shoes before entering.
