Preface
The Indonesia International Medical Devices and Supplies Exhibition (Hospital Expo) will be held in Jakarta from September 25 to 28, 2025. Organized by OSI, a member of the Indonesian National Exhibition Association, in collaboration with the Indonesian Medical Industry Association and the Jakarta Medical Industry Association, the event features a comprehensive range of product categories and attracts high‑quality exhibitors and professional visitors, making it the most influential medical trade show in Indonesia. To ensure a smooth participation and travel experience, we have compiled below some key information for your reference and preparation.

Exhibition Cancellation Procedure: On September 28, 2025, at 3:00 p.m., following the conclusion of the exhibition, exhibitors are required to collect the exit‑clearance list from the organizer’s office, complete it, and submit it to the organizer for signature and official stamp. Only after returning the completed form in accordance with the following provisions will exhibitors be permitted to leave the venue.

Exhibition Requirements
Please refrain from buying or selling any goods within the exhibition area that have not been registered in Indonesia or do not possess a valid sales license. This rule applies to both Indonesian and international exhibitors. According to Article 36 of the Indonesian Health Law (2009): Section 1 of Article 106 stipulates that pharmaceuticals and medical devices may only be sold upon obtaining a distribution license; Article 196 provides that anyone who, in violation of Sections 2 and 3 of Article 98—namely, intentionally manufacturing or selling medical devices that fail to meet safety standards or pharmaceuticals that do not conform to their claimed efficacy—shall be subject to a maximum prison sentence of 10 years and a fine of up to IDR 1 billion; and Article 197 states that anyone who, in contravention of Section 1 of Article 106—namely, intentionally manufacturing or selling pharmaceutical products or medical devices without a sales license—shall face a maximum prison term of 15 years and a fine of up to IDR 1.5 billion.
Exhibit equipment rental increase
Prior to the exhibition, the organizer will deliver exhibition equipment in accordance with the “Exhibition Equipment Rental” form submitted beforehand. For any additional equipment required on-site, representatives may visit the official booth contractor to arrange rental procedures and pay the applicable fees. The venue will then facilitate the rental of the requested equipment. The estimated time for equipment delivery is as follows:
Exhibition credentials
Please collect your exhibitor badges after 3:00 p.m. on September 24, 2025—the day of exhibit setup—by presenting your business card at the organizer’s office. The organizer’s office is located at the entrances to HALL-1 and HALL-3; exhibitors may choose the office nearest their booth. The number of exhibitor badges provided is as follows: each 9-square-meter booth includes 5 badges, with quantities scaled accordingly.
Personal Item Storage
1. Exhibitors are required to prioritize theft prevention and securely safeguard their personal belongings and critical documents, such as laptops, company trade secrets, and customer information, to avoid loss. Once exhibits have been set up at their booths, exhibitors must enter the venue on time, refrain from leaving early, and ensure that at least one person remains at the booth during exhibition hours to monitor and protect the exhibits, thereby ensuring their safety.
2. Upon closing of the exhibition hall, exhibitors shall take with them all relevant materials pertaining to the day’s key clients and other important resources to prevent their loss. At the start and end of each day’s operations, exhibitors must promptly verify the quantities of such materials; in the event of any loss, they must immediately report it to the exhibition hall’s security department.
3. If you discover that your money or documents have been stolen, or if any other incident occurs, remain calm and promptly report the matter to the nearest police station’s duty desk, or visit the Chinese Embassy or Consulate in Indonesia to arrange for the necessary replacement procedures.

1. In accordance with the laws of the Republic of Indonesia and Ministerial Decree No. M.HH-02.GR.01.04 of 2024 issued by the Minister of Law and Human Rights, overseas Exhibitor A business visa must be used (visa type: C11 visa).
Indonesia Entry Information: Passport, C11 visa page, electronic customs declaration form, printed round-trip air tickets, and hotel reservation (subject to random inspection). Exhibitors are advised to use the self-service immigration channel to avoid being asked for unofficial fees by customs officials under various spurious pretexts.
2. Overseas exhibitors wishing to display products/goods shipped directly from their country of origin at their booths may contact the organizer’s official freight forwarder, PT. Rogers Kinerja Gemilang, to streamline the shipping and re-export procedures.
3. In accordance with the General Administration of Customs Director‑General’s Regulation No. PER‑3/BC/2023 on bonded procedures during exhibitions, customs fees shall be levied on the following supporting goods, such as:
A. Printed materials and exhibition items for promotional purposes, including decorations, posters, photographs, brochures, flyers, pamphlets, and advertising images;
B. Complimentary promotional items, including pens, lighters, wallets bearing the manufacturer’s or exhibitor’s name or logo, and the like;
C. Samples that are provided free of charge, non‑transferable, in special packaging, and in quantities less than the minimum commercial unit.
Customs:
1. Foreign non-diplomatic personnel entering or leaving international ports of entry such as airports and seaports must have their carry-on and checked baggage subject to customs inspection.
2. Upon entry, foreign visitors must complete a customs declaration form to declare their belongings, specifying quantity, type, and value. Those with no items to declare should proceed through the green channel; those with items requiring declaration should use the red channel.
3. Customs officers are authorized to conduct bag inspections on passengers who have passed through the green channel. If such inspections reveal that the quantity of items carried exceeds the prescribed limits, customs may confiscate and destroy the excess portion.

1. Bring your original passport (with at least six months of validity), the C11 visa page, the invitation letter, your insurance policy, and your round-trip flight itinerary.
2. Bring an ample supply of brochures, posters, and other materials.
3. Mobile phone (with international roaming enabled), charger, power bank (3C-certified), and a travel adapter.
4. Bring your toiletries and necessary clothing, and keep a supply of your regular medications—such as gastrointestinal remedies, allergy pills, fever reducers, and pain relievers—for emergencies.
5. Please do not place computers, batteries, or power banks (with 3C certification) in your checked baggage.
6. Time Difference: Indonesia is one hour behind China; the time in Indonesia is Beijing Time minus one hour.
7. Weather Conditions and Dress Recommendations: In September, Indonesia’s temperatures typically range from 22°C to 31°C, with average daytime highs around 31°C. It’s advisable to wear lightweight, breathable clothing such as short-sleeved shirts, shorts, light skirts, and thin shorts. Additionally, since September often sees occasional showers or thunderstorms, it’s recommended to carry rain gear for unexpected weather changes.
8. Electricity: Indonesia’s voltage is 220V, and the outlets conform to the European standard.
9. Currency: Indonesia’s official currency is the Indonesian rupiah (IDR), also known as the Indonesian dollar. The exchange rate between the U.S. dollar and the Indonesian rupiah is approximately 1 USD to 16,415 IDR (please refer to the current exchange rate). U.S. dollars can be exchanged at international airports, hotels, and other authorized locations. The exchange rate between the Indonesian rupiah and the Chinese yuan is roughly 1 IDR to 2,300 CNY.
10. Transportation and Travel in Indonesia: Traffic in Indonesia drives on the left. Major cities such as Jakarta, Surabaya, Bandung, and Medan suffer from severe congestion. When traveling in Jakarta, popular ride-hailing apps include GRAB, which can be downloaded domestically and used locally. If taking a taxi, it’s advisable to choose reputable large‑scale operators like BlueBird or SilverBird. Before getting into a taxi, note down the license plate number so you can quickly retrieve any items left behind. Always carry your hotel’s business card; it can come in handy if you get lost. When riding in a taxi or dining at a restaurant, it’s customary to leave a small tip, though this is not mandatory.
11. Public Security: Overall, public security in Indonesia remains relatively stable, and the general public is quite peaceful. However, due to severe poverty and unemployment, social issues remain pronounced in some older neighborhoods, where marginalized individuals tend to congregate, leading to frequent incidents of theft and robbery. It is advisable to avoid remote areas and limit nighttime outings. In addition, please take note of the following precautions:
When entering or exiting hotels, markets, and other public places, be sure to keep your wallet, mobile phone, watch, jewelry, and other valuables secure—especially when taking photos or using the restroom. Zip up your handbags, travel bags, and backpacks, and carry them across your chest to minimize the risk of pickpocketing or theft. While visiting tourist attractions, avoid letting young children polish your shoes, refrain from patronizing street vendors, and do not engage with strangers, in order to prevent fraud or theft of your belongings.
12. Indonesia is a Muslim-majority country, so please refrain from eating pork or drinking alcohol in public. Indonesians typically use their right hand to shake hands and handle objects. Avoid touching anyone’s head, including children’s, and do not point at people with your finger. When entering a temple, remove your shoes and dress modestly—no shorts, sleeveless tops, or revealing clothing. Women who are menstruating should not enter temples. If someone—especially a priest—is sitting on the ground, never stand to their right. In public, avoid overly intimate behavior, as this may be considered inappropriate in local culture.
