03 Exhibition Guidelines and Important Notes

▶ Important Notes During the Exhibition:

1. Exhibitor credentials will be issued by the Organizing Committee based on the actual number of representatives from each participating company and handed to each representative on-site during registration. All exhibitor representatives are required to carry their exhibitor badges at all times, present them for entry into the exhibition halls, and report to and depart from their assigned posts strictly in accordance with the scheduled times. Exhibitors’ contracted interpreters may contact the Organizing Committee to obtain on-site translation credentials.

2. Exhibitors must adhere strictly to the exhibition setup schedule. The Chinese delegation will set up its booth on the day before the exhibition opens. Any exhibitor wishing to begin or finish setup earlier or later than scheduled must notify the Organizing Committee in advance; otherwise, no arrangements can be made. Prior to setting up your booth, please carefully review the setup regulations posted throughout the venue and comply with all venue requirements. Adhesive-backed posters leave stubborn adhesive residue that is difficult to remove. The exhibition organizer does not permit the full‑size adhesive‑backed posters to be affixed directly to the display panels. You may remove and apply only the adhesive strips on the top and bottom edges of the poster, each approximately 10 cm wide. We recommend hanging the display using S‑shaped hooks; however, do not nail, punch, or melt the exhibit panel in any way that could damage it. Any violations will result in penalties imposed by the exhibition hall. Exhibits must not extend beyond the designated booth area. Smoking is prohibited inside the venue, and open-flame operations are strictly forbidden.

3. Exhibit Equipment Rental: Exhibitors must, in accordance with the “Exhibit Equipment Rental” information provided by the Organizing Committee, complete the necessary registration procedures for renting exhibit equipment by April 10. Exhibitors who have not registered in advance with the Organizing Committee may, if they require equipment beyond the standard booth configuration, proceed to the on-site exhibit equipment rental service counter at the exhibition venue to arrange rental and pay the applicable fees; the venue will then facilitate the rental of the requested equipment.

4. Exhibit removal: Exhibits transported to the exhibition venue by the freight company commissioned by the Organizing Committee are classified as temporary imports and are subject to supervision by Vietnamese Customs. Exhibitors may not handle them on their own. If any exhibitor wishes to purchase, donate, or destroy exhibits, they must coordinate in advance with the Vietnamese transport agency designated under the “Import/Export Goods List.” Should an exhibitor fail to comply with the “Import/Export Goods List” and handle exhibits improperly, the resulting consequences shall be borne by the exhibiting enterprise. To ensure the safety of the exhibits, no goods may be removed from the venue until all relevant formalities have been duly completed after entry.

5. Security Services: During the exhibition, security in public areas will be managed by the Organizing Committee and the venue; after closing, on-site security will be entrusted to the venue’s security department. All exhibitors are required to strictly comply with all venue regulations, present their identification upon entry and exit, and refrain from remaining in the exhibition hall after hours. During the exhibition, exhibitors are responsible for the security of their customer information, confidential business data, and personal belongings such as mobile phones, cameras, and computers. Please ensure these items are kept securely. The Organizing Committee recommends that all exhibitors insure their exhibits and personal belongings to ensure the safety of the event.




04 Entry Requirements

Please note: To ensure a smooth entry, please make sure to prepare all required documents in full. As Vietnam employs a separate visa‑on‑a‑sheet system, you must present both the original visa page and your passport to customs officials upon arrival. Required documents include, but are not limited to, your passport, the visa‑on‑a‑sheet, proof of travel insurance, and a return ticket. We especially recommend keeping these materials in paper form to facilitate quick presentation should border control authorities request them.




05 Travel Guide

1. Be sure to bring your passport’s information page, visa page, insurance policy, and your round-trip flight itinerary.

2. Bring an ample supply of brochures, business cards, posters, and other promotional materials.

3. Mobile phone (with international roaming enabled), charger, power bank, and travel adapter.

4. Bring your toiletries and necessary clothing, and pack some of your regular medications—such as gastrointestinal remedies, allergy pills, fever reducers, and pain relievers—for emergencies.

5. Please do not place computers, batteries, or power banks in your checked baggage.

6. Time difference with China: 1 hour behind; time = Beijing Time − 1.

7. Local Temperatures: The average temperature during your visit is 24°C to 32°C. Daytime temperatures typically hover around 32°C. We recommend wearing lightweight, breathable clothing such as short-sleeved shirts, shorts, and light skirts. For business meetings or more formal visits, please bring smart‑casual attire.

8. Currency: The local currency is the Vietnamese dong (VND). 1 Chinese yuan is approximately equivalent to 3,515 VND. Please note that there are relatively few places that accept UnionPay cards; it’s advisable to carry Visa, Mastercard, and UnionPay cards.

9. Voltage: Hanoi, Vietnam, uses the same electrical standard as China—220V, 50Hz. The outlets are identical to those in China, so no plug adapters are needed. If a hotel’s outlets differ, you can ask the front desk for one or simply bring your own.

10. Language: The official language is Vietnamese.

11. Traffic: Like in China, Vietnam drives on the right side of the road. When crossing streets, please obey traffic regulations to ensure your safety.

12. Vietnamese people place great importance on etiquette; when meeting someone, they will proactively greet or nod in acknowledgment, thereby demonstrating respect and friendliness. In Vietnamese culture, the head is considered a sacred part of the body, symbolizing dignity and respect. Therefore, one should avoid casually touching another person’s head, including that of children. Vietnamese people also avoid taking group photos with three people, believing that such images may bring misfortune.
