03 Exhibition Guidelines and Important Notes

※ Entrance and Exit of the Exhibition Hall

◆ Access to the exhibition center is permitted only with valid credentials. Please carry your exhibitor badge at all times; unauthorized individuals will be denied entry to the venue. The exhibitor badge is for personal use only and may not be transferred.

◆ Makuhari Messe is a smoke-free venue. Smoking is prohibited throughout the exhibition period and during setup, both inside the exhibition halls and within your own booth.

◆ The exhibition hall does not provide storage services for empty crates or pallets.

※ Advertising Regulations

◆ All promotional gifts, flyers, and samples may only be distributed within the exhibition booth; they must not occupy public areas. Exhibits or samples that infringe on intellectual property rights are prohibited; otherwise, the judicial authorities reserve the right to order their removal, and booths that refuse to comply may be sealed off.

◆ During dismantling and removal, please ensure that all exhibits and booth materials are removed. Upon completion of dismantling and removal, the exhibition management will dispose of or relocate any exhibits and booth materials found within the exhibition hall. The exhibition management shall not be liable for any damage or loss resulting from such disposal or relocation. Please refer to the exhibition schedule for details on the dismantling and removal periods. Costs incurred during disposal or relocation may be charged to exhibitors.

※ Exhibition Item Outbound Control

◆ During the exhibition, no exhibit may be removed from the venue.

※ Exhibit Freight

◆ When arranging for a freight forwarder, be sure to maintain close communication with the shipping company to stay informed of the shipment’s status at all times.

◆ Please bring the relevant documents (or photocopies) for inspection, such as the delivery order, packing list, invoice, and so on.

◆ Please leave empty crates on your booth for your own safekeeping. Any empty crates or items left in the public aisles will be treated as waste and subject to a cleanup fee.

◆ The sale of exhibit items is strictly prohibited at the exhibition venue.

◆ Loss of Exhibits: The organizer shall bear no liability for any loss of exhibits.

04 Entry Requirements

Upon entering Japan, you are required to undergo immigration inspection and customs declaration. Cabin crew will distribute entry cards and customs declaration forms on the aircraft; please complete them accurately based on your circumstances. After arriving at the airport, if you have items to declare, proceed through the red channel. You may set aside any items requiring declaration after collecting your baggage for easier submission. Passengers with no items to declare should use the green channel.

05 Travel Advisory

1. Please bring your original passport (with at least six months of validity), visa pages, insurance policy, and electronic itinerary.

2. Bring an ample supply of brochures, posters, and other materials.

3. Mobile phone (with international roaming enabled), charger, power bank, and travel adapter.

4. Bring your toiletries and necessary clothing, and pack some of your regular medications—such as gastrointestinal remedies, allergy pills, fever reducers, and pain relievers—for emergencies.

5. Please do not place computers, batteries, or power banks in your checked baggage.

6. Time Difference: Japan is one hour ahead of China; the time in Japan is Beijing Time plus one hour.

7. Currency: Japan’s official currency is the Japanese yen (JPY). It’s recommended to exchange an appropriate amount of yen in China beforehand. 1 RMB ≈ 20.84 JPY (recent exchange rate, for reference only). When traveling to Japan, you may bring yen, but the total amount must not exceed 1 million yen; amounts exceeding this threshold require a customs declaration. For shopping, you can use UnionPay cards or credit cards bearing the Visa or Mastercard logo. Before your trip, it’s advisable to exchange some cash into yen domestically, or withdraw yen at Japanese convenience stores using a UnionPay card. In most Japanese department stores and drugstores, WeChat Pay and Alipay are widely accepted.

10. In Tokyo, October temperatures typically range from 16°C to 30°C, with average daytime highs around 30°C. It’s recommended to wear comfortable clothing such as T-shirts, lightweight denim shirts and pants, casual outfits, or business attire. For business meetings or more formal visits, be sure to bring formal attire.

11. When using chopsticks in Japan, avoid pointing at people, do not stick your chopsticks upright in a bowl of rice, do not pass food directly from one pair of chopsticks to another, and refrain from tapping your chopsticks against bowls or plates. Smoking is prohibited in most indoor public spaces, including restaurants and bars. Outdoors, be sure to use designated smoking areas. When visiting shrines and temples, observe local customs, such as washing and rinsing your hands before entering a shrine and removing your shoes before stepping inside.
