Exhibition Guidelines and Important Notes
Exhibition Tips
1. Visit Connect
To help exhibitors collect customer information more conveniently and efficiently, and to identify potential leads, we offer the Visit Connect badge‑scanning service. At the exhibition, you can use your mobile browser to scan the QR code on attendees’ badges and retrieve their details.
2. Intellectual Property Protection
Exhibitors must ensure that the exhibits, their packaging, and any promotional materials or display elements of the exhibition booth do not, in any respect, infringe upon or violate the rights of others. With respect to all intellectual property rights, including but not limited to registered or unregistered trademarks, copyrights, industrial designs, trade names, and patents, exhibitors shall obtain the necessary legal authorization.
In accordance with the certificate of rights or the license agreement, the organizer strongly urges exhibitors not to display samples whose intellectual property rights are unclear. Should any intellectual property disputes arise on-site, the organizer reserves the right to require exhibitors to remove exhibits subject to such disputes.
Please note that Kenyan law imposes strict requirements on the lawful use of registered trademarks. Using a registered trademark or logo without the prior authorization of the trademark owner, or displaying exhibits that infringe upon such trademark rights, constitutes a serious violation and may result in the immediate closure of the booth at the exhibition.
3. Reselling exhibition booths is strictly prohibited.
As the exhibition organizer, reselling or privately combining booths is strictly prohibited. Any violation will result in adverse consequences for all future applications to Informa‑hosted exhibitions.
4. Personal Protective Equipment (PPE) Guidelines
During the setup and dismantling phases, exhibitors and contractors are responsible for ensuring the health and safety of on-site personnel. Personal protective equipment (PPE) must meet at least the minimum standards to prevent injuries. Mandatory requirements: All exhibitors and contractors must provide safety apparel that meets the minimum standards, including safety shoes with toe protection and high‑visibility safety vests. In addition, standard requirements include hard hats, safety goggles, and hearing protection.
5. During the setup period (September 2–3, 2024)
1) Please prioritize your personal safety and stay away from specially constructed exhibition booths, scaffolding, shelving units, and other equipment or display fixtures that could pose a risk of falling objects, to prevent injuries or fatalities.
2) All personnel entering the exhibition hall must wear appropriate personal protective equipment, including rubber-soled shoes and safety vests; otherwise, they will be denied access to the exhibition hall and all on-site unloading areas.
3) During the setup period, please keep your empty containers and waste on your own booth; do not place them in the aisles, nor leave them at other booths. After the exhibition setup is complete, please collect all empty containers and waste and dispose of them in the designated trash bins located outside the entrance and exit of the exhibition hall.
Exhibition venue staff will conduct regular patrols, and violators will face substantial fines. Please take this seriously.
6. During the event period (September 4–6, 2024)
Please note: During the first two days of the exhibition (before 6:00 p.m. each day), exhibitors are prohibited from leaving early or dismantling/packing up their exhibits; violators will be subject to a fine.
1) During the exhibition, electric kettles are strictly prohibited in standard booths. If a power outage in the exhibition area caused by boiling water prevents normal operations, the exhibitor shall bear full responsibility and pay any applicable fines.
2) Please dispose of waste promptly during the exhibition to keep your booth and passageways clean. At the end of each day, kindly empty all booth trash and discarded materials into the bins located outside the exhibition hall’s entrances and exits.
7. During the exhibition withdrawal period (September 6, 2024)
Please note: On the final day of the exhibition (before 4:00 p.m.), exhibitors are prohibited from leaving early or dismantling/packing up their exhibits; violators will be subject to a fine.
1) After the exhibition concludes, you may leave general household waste and ordinary refuse at your booth. However, for special types of waste and materials—such as oversized or overweight items—you must submit a prior request to the venue’s waste‑removal department to arrange for their removal.
2) Upon dismantling, please be sure to remove all posters and other promotional materials affixed to wall panels or exhibition fixtures. Any residual adhesive or damage to the wall panels caused during removal will incur additional handling charges.
3) During the dismantling period, all exhibition hall personnel must wear personal protective equipment, including rubber-soled shoes and safety vests; otherwise, they will be prohibited from entering the exhibition hall.
8. Safety Matters
1) Throughout the duration of the exhibition—during setup, display, and dismantling—please take care to safeguard your company’s exhibits and personal belongings. The organizer shall not be liable for any loss or theft of exhibits or personal items.
2) Exhibitors are prohibited from standing on chairs, tables, or any other rented exhibition equipment. All such equipment is not designed to support human weight. Pro Expo shall not be liable for any injuries, falls, or other incidents resulting from the improper use of exhibition equipment. If you require assistance during booth setup, please visit the service desk located in HALL 1 – COURTYARD – Registration Area 1 to contact the exhibitor‑service contractor.
3) Please prioritize your personal safety and stay away from specially constructed exhibition booths, scaffolding, shelving, and other equipment or display fixtures that could pose a risk of falling objects, to prevent injuries or fatalities.
4) The shelf installation is a temporary procedure; until it is securely fastened, there is a risk of slippage. Please maintain a safe distance throughout the installation process to ensure personal safety.
9. Individuals under the age of 16 are not permitted to enter the exhibition hall.
PART.4
Entry Requirements
1. When entering or leaving Kenya, to ensure a smooth and hassle-free immigration process, we strongly recommend getting vaccinated against yellow fever at least 10 days in advance and carrying your “Yellow Book” with you. This measure not only meets Kenya’s entry requirements but also provides the best protection for your personal health and safety. The total amount of cash you may carry on your person must not exceed US$5,000 as required by law; the combined weight of high‑proof alcoholic beverages you carry on your person or check in must not exceed 1 kilogram (equivalent to 1,000 milliliters), while the total volume of low‑proof alcoholic beverages must not exceed 2 liters; the total volume of liquid cosmetics such as perfume must not exceed 1 liter, with perfume limited to no more than 250 milliliters; and tobacco products (cigarettes, cigars, etc.) must not exceed 250 grams in total. Any amounts exceeding these limits must be declared to and taxed by Kenyan Customs.
2. Individuals are prohibited from bringing drones into Kenya without first obtaining written import authorization from the Kenya Civil Aviation Authority (KCAA); otherwise, the drones will be seized by customs upon entry.
3. In August 2017, Kenya announced the mandatory implementation of a “plastic bag ban”: the use, manufacture, and import of all plastic carrier bags and flat‑bottomed plastic bags for commercial and household purposes are prohibited throughout the country. The embassy reminds Chinese nationals to comply with Kenya’s plastic bag ban, refrain from bringing prohibited plastic bags into Kenya, and avoid using such bags when shopping, traveling, or disposing of everyday waste in Kenya. This anti‑plastic bag law is touted as the world’s strictest plastic‑bag ban. Under the legislation, Kenyan citizens who produce, sell, or use plastic bags may face up to four years’ imprisonment or a fine of approximately 4 million Kenyan shillings (about US$38,000 or RMB 260,000).
4. Upon entry, you must complete an immigration card; please refer to the diagram below:
PART.5
Travel Advisory
1. Bring your original passport (with at least six months of validity), your ETA electronic authorization, your insurance policy, the invitation letter, and your round-trip flight itinerary.
2. Bring an ample supply of brochures, posters, and other materials.
3. Mobile phone (with international roaming enabled), charger, power bank, and travel adapter.
4. Bring your toiletries and necessary clothing, and pack some of your regular medications—such as gastrointestinal remedies, allergy pills, fever reducers, and pain relievers—for emergencies.
5. Please do not place computers, batteries, or power banks in your checked baggage.
6. Kenya—Nairobi is 5 hours behind China; the time there is Beijing Time minus 5 hours.
7. Currency: The local currency is the Kenyan shilling (KES). 1 U.S. dollar ≈ 130 KES, and 1 Chinese yuan ≈ 18 KES (subject to the prevailing exchange rate). U.S. dollars, euros, British pounds, and other major currencies can be exchanged for the local currency. Exchange services are available in major commercial districts, hotels, and large supermarkets. You can also exchange money at banks, though a handling fee will apply. Generally, exchange rates at authorized bureaus are slightly more favorable than those offered by banks. It’s advisable to carry small-denomination U.S. dollars, traveler’s checks, and VISA or Mastercard credit cards. Please note that credit cards such as VISA and Mastercard, as well as UnionPay cards, are widely accepted abroad.
8. In Nairobi, September temperatures typically range from 18°C to 28°C, with relatively high average daytime highs. It’s advisable to wear lightweight, breathable clothing such as cotton‑linen shirts, light dresses, and thin T-shirts. For business meetings or more formal visits, be sure to bring smart attire. Kenya’s climate is conducive to mosquito breeding, especially during the rainy season. To prevent mosquito bites and related illnesses, it’s recommended to carry insect repellent, eucalyptus oil, or a doctor‑prescribed anti‑mosquito lotion. As Kenya lies near the equator, UV radiation is intense; don’t forget sunscreen, sunglasses, and a sun hat to protect yourself from the sun.
9. Kenya’s standard electrical supply is 220/240V at 50Hz, and all outlets use the British-style three-pin plug.
10. The Kenyan people are warm and friendly; they love helping tourists and will even walk long distances to show you the way. A simple “JAMBO” (Swahili for “hello”) can quickly put you at ease. Avoid discussing race in Kenya—locals prefer not to describe themselves as having “black skin,” opting instead for “brown.” In Kenya, the number 7—and any number ending in 7—are considered unlucky.
