Introduction

The 2024 Philippines International Medical Equipment Exhibition will be held from August 14 to 16 in Manila, Philippines. To help exhibitors fully prepare and effectively plan their activities and logistics during the event, we have compiled relevant information for your reference and use. We hope this guidance will make your participation more productive, efficient, and rewarding.

Exhibition Schedule

Exhibition setup time

Exhibition setup time for standard booths:

August 13, 2024 8:00 AM–6:00 PM

Open-space and custom-built booth construction and exhibition setup:

August 12–13, 2024, 8:00 AM–6:00 PM

▪ Exhibitors are required to prepare their own promotional posters. Prior to setting up their booths, they must carefully review the exhibition‑hall’s posted booth‑setup regulations. Posters and other materials should be affixed using removable adhesive tape; it is recommended to use S‑shaped hooks or 76‑mm round clips for hanging. After the exhibition, all materials must be thoroughly removed, leaving no adhesive residue. Do not nail, punch, melt, or otherwise damage the display panels, as such actions may result in fines.

▪ All exhibition booths must be completed, including all materials to be brought in, by 6:00 p.m. on August 13, 2024. Please note that the exhibition hall will close promptly at 6:00 p.m. each evening from August 12 to 13, 2024. For custom-built booths, please communicate this deadline to your booth contractor. If you require additional time, please contact the organizer; any associated fees will be borne by the contractor or the exhibitor.

▪ After 5:00 p.m. on August 16, 2024, all exhibits and portable display materials may be removed from the exhibition area. All exhibits, heavy-duty display materials, and exhibition stands must be removed from the exhibition area by 11:00 p.m. on August 16, 2024. Any relocation after the deadline will incur a rental charge.

▪ The distribution of any flyers or promotional materials is prohibited outside the exhibition booth.

Exhibition Guidelines and Important Notes

Exhibitor Badge Collection

Exhibitors are requested to present their business cards at the registration desk on August 12–13, 2024 (the setup days), provide their booth number, and then collect their exhibitor badges. During the standard setup period, air conditioning will not be available in the exhibition halls. Additional rental equipment will arrive in the afternoon and be gradually assembled; we recommend arriving in the afternoon to begin your setup.

Regarding the Shipment of Exhibits

Exhibitors planning to check in exhibits are advised to use suitcases for shipping; cardboard boxes or plastic woven bags are strictly prohibited to avoid customs delays. In addition, airlines have recently tightened their policies on excess‑baggage fees, so companies shipping large quantities of samples should set aside an appropriate contingency fund. Companies bringing substantial quantities of their own samples should prepare a detailed inventory of the exhibits, customs declaration forms, and sufficient funds for applicable duties to minimize the risk of customs inspections upon entry. Do not place valuable items such as passports, airline tickets, credit cards, or cash in your checked baggage to prevent loss. Furthermore, please note that international flights prohibit carrying any liquids in carry‑on luggage—including eye drops, toothpaste, bottled water, shampoo, and liquid or powdered cosmetics—as well as prohibited items like scissors, nail clippers, and knives.

Exhibition Material Preparation

To ensure a successful exhibition experience, all participating companies are required to prepare sufficient promotional materials, including product catalogs, company profiles, and advertising images. Companies that are able to do so may also distribute small souvenirs and tote bags bearing their corporate logo during the event. For key clients, please make advance contact and, as appropriate, prepare suitable gifts.

Precautions

  1. During the event, formal attire is required for entry; slippers and shorts are not permitted. Please bring a jacket, as the indoor temperature is low.

  2. During the exhibition, please wear your exhibitor badge at all times; in principle, entry is not permitted without one.

  3. Children are not permitted.

  4. During the event, no exhibits may be brought into or removed from the exhibition hall.

  5. Exhibitors are required to safeguard their exhibits at all times; valuable items must be carried on your person to prevent theft. Any liability arising from the loss, theft, or damage of exhibits shall be borne solely by the exhibitor.

  6. No smoking. The venue is a smoke-free area, including both traditional cigarettes and e-cigarettes.

Entry Requirements

Philippines Online Entry Declaration – eTravel Card: This card replaces the previous “One Health Pass.” Be sure to register and complete the form on the website (https://etravel.gov.ph) within 72 hours of your departure, and keep your QR code safe. Registration is free—no fees are charged. Please be cautious of fraudulent websites and organizations.

Travel Advisory

1. Bring your original passport (with at least six months of validity), a valid Philippine visa, or valid pages from your U.S., Schengen, or Japanese visas, along with an invitation letter and your round-trip flight itinerary.

2. Bring an ample supply of brochures, posters, and other materials.

3. Mobile phone (with international roaming enabled), charger, power bank, and travel adapter.

4. Bring your toiletries and necessary clothing, and pack some of your regular medications—such as gastrointestinal remedies, allergy pills, fever reducers, and pain relievers—for emergencies.

5. Please do not place computers, batteries, or power banks in your checked baggage.

6. The Philippines—Manila is in the same time zone as China, with no time difference.

7. Regarding currency, the local official currency is the peso (PESO). 1 U.S. dollar ≈ 58.6 pesos, and 1 Chinese yuan ≈ 8.1 pesos. Please note that credit cards (such as VISA and Mastercard) and UnionPay cards are widely accepted abroad.

8. In Manila, August temperatures typically range from 27°C to 31°C, with an average daytime high of around 31°C. It’s recommended to wear light, cotton-based clothing such as short-sleeved shirts, shorts, and lightweight skirts or shorts—garments that are cool and breathable. For business meetings or more formal visits, be sure to bring smart attire.

9. The standard voltage in the Philippines is 220–240V, so most household appliances can be used safely. Most outlets are two‑flat‑pin type; both round and three‑prong plugs require adapters.

10. Filipinos avoid the numbers “13” and the day “Friday,” viewing them as symbols of bad luck and misfortune. They also refrain from handing objects or picking up food with their left hand, believing it to be unclean and lowly; using the left hand is considered a grave insult to others.
