02 | Exhibition Schedule

03 | Exhibition Guidelines

1. During the event, please wear formal attire when entering and exiting the exhibition hall. Shorts, slippers, and other casual clothing are not permitted. The air conditioning inside the hall is set to a low temperature, so please bring a jacket to avoid catching a cold.

2. Exhibitors are requested to visit the organizer’s service desk at the exhibition hall entrance on September 10, the setup day, and present their business cards to provide their booth number and company name in order to collect their exhibitor badges. During the exhibition, exhibitors must carry their badge at all times when entering the venue and strictly adhere to the designated arrival and departure times.

3. Exhibitors must adhere strictly to the exhibition setup schedule. Prior to setting up their booths, they should carefully review the installation guidelines posted throughout the venue and comply with all venue requirements. Adhesives or tapes with strong adhesive properties may not be applied directly to display panels; instead, “S”‑shaped hooks may be used for hanging. However, nailing, drilling, melting, or any other actions that damage the display panels are prohibited. Any violations will result in penalties imposed by the venue. Display items must not extend beyond the designated booth area. Smoking is prohibited within the exhibition hall, and open flames are strictly forbidden.

4. On the day of exhibit setup, venue staff will arrange for exhibition equipment to be delivered to your booth in accordance with the “Exhibit Equipment Rental Form” submitted by exhibitors prior to the show. If your equipment has not yet been delivered, please inform the venue staff. Due to high demand for exhibit equipment and the time required for manual handling, we kindly ask for your patience. Exhibitors who did not register their equipment rental with the organizing committee in advance may, if they wish to rent equipment, proceed to the venue’s exhibit‑equipment rental service counter to complete the rental process and pay the applicable fees; the venue will then arrange for the rental of the necessary equipment.

5. During the exhibition, no exhibits may be brought into or removed from the venue. Exhibitors are responsible for safeguarding their own exhibits; valuable items should be carried on your person to prevent theft. Any liability arising from the loss, theft, or damage of exhibits shall be borne solely by the exhibitor.

6. During dismantling, please remove your posters and keep the display panels clean. Any exhibits remaining at your booth after dismantling may be disposed of by the venue, including being sold. Exhibitors are responsible for clearing all booth waste following the exhibition. For any waste left at the booth after the event, the venue will charge exhibitors a waste disposal fee.

7. Exhibits transported to the exhibition venue by a freight company are classified as temporary imports and are subject to supervision by Vietnamese customs. Exhibitors may not handle them on their own. If any exhibitor wishes to purchase, donate, or destroy such items, they must coordinate in advance with the Vietnamese transport provider designated under the “Import/Export Goods List.” Should an exhibitor fail to comply with the provisions of the “Import/Export Goods List” and handle the exhibits independently, the resulting consequences shall be borne by the exhibiting enterprise. To ensure the safety of the exhibits, no goods may be removed from the venue until all relevant formalities have been completed after entry.

8. During the exhibition, it is prohibited to solicit or sell products unrelated to pharmaceuticals and medical devices; it is also forbidden to share a booth with companies of unknown origin. If any exhibitor representative privately and in violation of regulations accepts a shared booth from an entity of unclear provenance, the Organizing Committee reserves the right to revoke the use of that booth and notify the exhibitor’s affiliated institution of the matter. As overseas events represent the nation and its people, all exhibitors must refrain from selling counterfeit or substandard products, and are strictly prohibited from exhibiting items subject to intellectual property disputes. Any violations shall be the sole responsibility of the exhibitor, who shall bear all resulting consequences.

04 | Entry Requirements

1. Based on past experience entering and exiting Vietnam, for your reference: At Vietnamese airports and other border checkpoints, customs inspections of luggage are often rather informal, and customs officers frequently resort to various underhanded practices—such as soliciting bribes—to supplement their income. For large exhibits or shipments with a substantial number of items, please arrange transportation well in advance. If you cannot secure transport ahead of time and must carry exhibit samples yourself, bring along several dozen U.S. dollars in small denominations or 100–200 yuan in cash, kept separately, to offer as a tip to customs officials. At the same time, try to avoid drawing attention to the fact that you are carrying a significant amount of cash. After collecting your baggage at the airport, promptly head to a less crowded customs lane, pass through the X-ray scanner, and leave quickly—do not linger. Should your luggage be detained during inspection, remain calm and composed. If, after brief negotiations, you are still required to complete import‑registration procedures or face confiscation, know that the officer’s real aim is likely to hold your luggage hostage in order to extract a bribe or other unofficial payment. In most cases, offering a modest tip will secure your release. Under customs regulations, any items requiring declaration upon entry or exit must be declared voluntarily; failure to do so and subsequent discovery upon arrival will result in the imposition of applicable customs duties.

2. Visitors entering or leaving the country are prohibited from carrying contraband, such as pornographic publications and videos, firearms, explosives, and narcotics. Unquarantined plants, animals, and fruits may not be brought across the border, and large Vietnamese rosewood handicrafts and coral items are also forbidden from being taken back home. Upon entry, never accept items on behalf of others, nor bring in plants, animals, or their products, to avoid unnecessary complications.

05 | Travel Advisory

1. Bring your original passport (with at least six months of validity), the original visa page, your insurance policy, and your round-trip flight itinerary.

2. Bring an ample supply of brochures, posters, and other materials.

3. Mobile phone (with international roaming enabled), charger, power bank, and travel adapter.

4. Bring your toiletries and necessary clothing, and pack some of your regular medications—such as gastrointestinal remedies, allergy pills, fever reducers, and pain relievers—for emergencies.

5. Please do not place computers, batteries, or power banks in your checked baggage.

6. Vietnam—Ho Chi Minh City is one hour behind China; the time there is Beijing Time minus one hour.

7. Regarding currency, the country you will be visiting is Vietnam, where the local currency is the Vietnamese dong (VND). Official foreign‑exchange outlets at airports, banks, hotels, and other authorized locations offer currency‑exchange services; you can also exchange money directly with your tour guide or other staff. The Chinese yuan is not widely accepted in Vietnam, but U.S. dollars can be used directly at most retail and service establishments. The exchange rate is approximately 1 USD to 21,000 VND and 1 CNY to about 3,300 VND. These rates are for reference only; the official rates posted at the exchange counter on the day of your transaction shall prevail. (Note: Since most transactions in Vietnam are settled in Vietnamese dong, slight discrepancies may occur when exchanging currency at airports, banks, hotels, or through your guide. Please decide for yourself whether to proceed with the exchange.) Avoid carrying large amounts of cash; it is advisable to keep no more than RMB 20,000 in cash and no more than USD 5,000 in foreign‑currency cash. Any amounts exceeding these limits must be declared to customs. Credit cards such as VISA or MASTER CARD are widely accepted abroad.

8. In September, Vietnam’s temperatures typically range between 26°C and 30°C, with average daytime highs around 30°C. It is recommended to wear light, breathable clothing made from cotton, such as short-sleeved shirts, shorts, lightweight skirts, and shorts. For business events or more formal meetings and receptions, please bring formal attire. As exhibition halls tend to be cooler, it’s advisable to carry a jacket. With frequent typhoons along the southeastern coast lately, please plan your travel in advance.

9. The voltage in Ho Chi Minh City, Vietnam, is 220V at 50Hz. Outlet types vary from hotel to hotel—some have round sockets, others flat ones—but most domestic appliances are compatible. Businesses may also wish to bring a universal adapter to suit their needs.

10. Vietnamese people place great importance on etiquette: when meeting someone, they greet them with a polite salutation or a nod. Influenced by Chinese traditions and culture, Vietnam’s customs share many similarities with ours, yet there are also certain cultural taboos that should be kept in mind. When visiting a shoe store or clothing shop by the roadside—or even a private home or guesthouse—be sure to remove your shoes before entering.
