Exhibition Guidelines and Important Notes
Badge Collection
Your exhibitor badge information has been submitted to the organizer. Please proceed to the organizer’s service desk at the exhibition hall entrance on May 8, the day of setup. (The organizer’s service desk is located at the main service counter at the entrances of Hall A and Pavilion C.) , present your business card and state your booth number and company name to collect your exhibitor badge.
Exhibition Participation Guidelines
1. Exhibitor credentials will be issued by the Organizing Committee based on the actual number of representatives from each participating company and handed to each representative on the day of registration. All exhibitor representatives are required to carry their exhibitor badges at all times; entry into the exhibition halls is permitted only upon presentation of these credentials, and attendance and departure must strictly adhere to the designated schedules. Translators employed by exhibitors may contact the Organizing Committee to obtain translation credentials on-site.
2. Exhibitors must adhere strictly to the designated exhibition‑setup schedule. The Chinese delegation will set up its displays on the day before the fair opens. Any exhibitor wishing to begin setup earlier or later than scheduled must notify the Organizing Committee in advance; otherwise, no arrangements can be made. Prior to setting up your booth, please carefully review the exhibition‑setup regulations posted throughout the venue and comply with all venue requirements. Adhesive-backed posters leave stubborn adhesive residue that is difficult to remove; therefore, the venue does not permit affixing entire sheets of such posters directly to display panels. Instead, only the top and bottom edges—approximately 10 cm each—may be peeled back and adhered to the panel. We recommend hanging posters using S‑shaped hooks, but drilling, punching, or melting the panels in any way is strictly prohibited. Violations will result in penalties imposed by the venue. Display items must not extend beyond the allotted booth area. Smoking is prohibited throughout the venue, and open flames are strictly forbidden.
3. Exhibition Equipment Rental: Exhibitors must complete the necessary registration procedures for renting exhibition equipment by April 10, in accordance with the “Exhibition Equipment Rental” information provided by the Organizing Committee. Exhibitors who have not registered in advance with the Organizing Committee may, if they require equipment beyond the standard booth configuration, proceed to the on-site exhibition equipment rental service counter at the venue to arrange and pay for the rental. The venue will then facilitate the rental of the requested equipment.
4. Removal of Exhibits from the Venue: Exhibits transported to the exhibition hall by the freight company commissioned by the Organizing Committee are classified as temporary imports and are subject to supervision by Vietnamese Customs. Exhibitors may not handle such items on their own. If any exhibitor wishes to purchase, donate, or destroy exhibits, they must coordinate in advance with the Vietnamese transport agency designated under the “Import/Export Goods List.” Any consequences arising from an exhibitor’s unauthorized handling of exhibits contrary to the “Import/Export Goods List” shall be borne by the enterprise. To ensure the safety of exhibits, no goods may be removed from the venue until all relevant formalities have been completed after entry.
5. Security Services: During the exhibition, the organizing committee and the venue will be responsible for ensuring safety in public areas. After closing hours, the venue’s security department, acting on behalf of the organizing committee, will oversee on-site security. All exhibitors are required to strictly adhere to all venue regulations, present their identification upon entry and exit, and refrain from remaining in the exhibition hall after hours. Throughout the event, exhibitors shall assume responsibility for the security of their customer information, critical business secrets, and personal belongings such as mobile phones, cameras, and computers; please ensure these items are properly safeguarded. The organizing committee recommends that exhibitors obtain insurance coverage for their exhibits and personal property to help ensure the safety of the event.

Travel Advisory
Entry Requirements
Given that Vietnam employs a separate visa‑issuance system, please present both your visa page and your passport to customs upon entry. To ensure a smooth entry, please be sure to prepare all required supporting documents in full.
1. Bring your original passport (with at least six months of validity) and your round-trip flight itinerary.
2. Bring an ample supply of brochures, posters, and other materials.
3. Mobile phone (with international roaming enabled), charger, power bank, and travel adapter.
4. Bring your toiletries and necessary clothing, and pack some of your regular medications—such as gastrointestinal remedies, allergy pills, fever reducers, and pain relievers—for emergencies.
5. Please do not place computers, batteries, or power banks in your checked baggage.
6. Vietnamese cuisine is distinctive, characterized by its light flavors and emphasis on the natural taste of ingredients. When cooking, Vietnamese dishes use only a small amount of vegetable oil to preserve a refreshing, clean palate. Although the culinary scene is diverse, street food may pose hygiene concerns, so it’s advisable to choose carefully. By contrast, fruits are relatively safe, and you can enjoy sampling the region’s abundant variety.
7. Hanoi, Vietnam is one hour behind China; the time is Beijing Time minus one hour.
8. Regarding currency, the local official currency is the Vietnamese dong (VND). Please note that credit cards such as VISA and Mastercard, as well as UnionPay cards, are widely accepted throughout Vietnam.
9. In Hanoi, Vietnam, temperatures in May range from 24°C to 32°C, with an average daytime high of around 30°C. It’s recommended to wear light, breathable clothing such as cotton‑linen shirts, lightweight maxi dresses, and thin T-shirts. For business meetings or more formal visits, be sure to bring smart attire. As Hanoi experiences a rainy season in May with frequent rainfall, it’s advisable to carry rain gear when you’re out and about.
10. Hanoi, Vietnam, uses an electrical supply standard similar to China’s: 220V, 50Hz. The outlets are the same as in China, but most local sockets have two pins; it is recommended to bring a plug adapter.
