Exhibition Participation Guidelines

01

Exhibitor Credentials

Please download the Exhibitor Badge with a QR code from the exhibitor portal, print a hard copy on A4 paper to bring to the venue, and also save the digital version on your phone. You can exchange it for a badge on-site. (We recommend bringing a business card as well.)

02

Exhibit Express Delivery

If you need to ship exhibits to the exhibition venue, please ensure that a designated staff member is on hand to receive the shipment and clearly mark the following information on the package. The organizer cannot provide a third-party receiving service.

03

Vehicle Pass

If necessary, exhibitors may log in to the backend to download and print their Vehicle Pass.

04

On-site service

If you encounter any issues with your booth’s setup, please contact the service desk directly: the main venue contractor Sakura International Inc., the electrical services provider SUZUKIDENKI Co., Ltd., and the furniture rental service provider AZ Scene Corp.

05

Intellectual property

Intellectual property disputes that frequently arise at trade shows typically involve design patents, trademarks, copyrights, or violations of the Anti-Unfair Competition Law due to imitation. Please ensure, prior to your trip, that you have properly prepared all relevant intellectual property documentation for the exhibits and promotional materials associated with this event.

06

Exhibit and Personal Belongings Storage

During the exhibition, please ensure that your personal belongings and exhibits are securely guarded, and avoid carrying large amounts of cash. Exhibits and items stored within the exhibition hall may be kept in rented lockers. In particular, during setup and dismantling, the crowds can be especially dense, increasing the risk of theft. Should any items go missing, please notify the organizing committee immediately so they can assist with the necessary procedures.

4

Japan Entry Requirements

Required Documents

  • Original passport: Must be valid for at least six months beyond the end of your trip and have at least three blank pages.

  • Valid Visa: Please ensure that you hold a valid Japanese visa (single-entry, three-year multiple-entry, or five-year multiple-entry) or a valid APEC Business Travel Card, and carry it with you at all times.

Recommended documents for record‑keeping (subject to possible customs inspection)

  • Round-trip flight itinerary

  • Full-Stay Hotel Confirmation

  • Travel insurance policy covering the trip

Importation Reminder

There are strict restrictions on the import of animal and plant products, including meat, fruits, and vegetables; it is recommended to avoid bringing such items. Gold with a purity of 90% or higher weighing more than 1 kilogram must be declared. Alcohol beverages are limited to three bottles (each approximately 760 ml), and tobacco is limited to 200 cigarettes; these limits apply only to adults aged 20 or older.

5

Local Living Tips

  1. Time difference: Japan Standard Time is one hour ahead of Beijing Time.

  2. Weather and Tips: Please check the weather forecast before you travel. In October, Tokyo can be rather cool in the mornings and evenings, so it’s advisable to bring a light jacket.

  3. Voltage/Outlets: China uses 220V, while Japan uses 110V. Outlets are predominantly Type A two‑prong flat plugs; be sure to bring a U.S.–Japan plug adapter for three‑prong plugs, and we recommend packing an international travel adapter along with a power strip.

  4. Communication: We recommend activating international roaming in advance or purchasing a local Japanese SIM card/eSIM.

  5. Currency: Japan’s currency is the Japanese yen. It’s advisable to carry a small amount of cash, though most department stores accept credit cards.

  6. Customs and Taboos: Japanese business culture places great emphasis on punctuality, and business cards should be exchanged with both hands. As Japanese visitors tend to be rather reserved, we recommend that exhibitors proactively invite attendees to visit their booths, offer samples, and exchange business cards during the event. And you can fully leverage the Lead Manager service and Colleqt QR Code to facilitate audience data collection.
