Exhibition Pass and Materials Collection

Starting at 3:00 PM on October 6, you may collect your exhibition materials—including your exhibitor badge and the event‑specific guidelines—at the organizer’s office in ICE BSD City. Each 9‑square‑meter booth is allocated five exhibitor badges, with quantities scaled accordingly. When collecting, please bring your company business card and provide your booth number; the booth manager will handle the distribution on your behalf.

02

On-site additions and exhibit arrivals

On-site additional orders placed during the exhibition setup period must be submitted to the organizer. According to the handbook, on October 6, on-site ordering is available from 10:00–15:00 and 15:00–21:00, with corresponding arrival times of 19:00 on October 6 and 10:00 on October 7. • No loudspeakers are permitted inside the exhibition booth.

  • No suspension points or hanging devices shall be installed on the roofs of exhibition hall buildings.

  • Carpeting, signage, or any similar items shall not be placed in the exhibition hall aisles.

  • After closing each day, please cover your booth with cloth or other materials and assist in ensuring the security of your respective booth.

05

Exhibition Setup Construction Guidelines

  • All cargo handling must be conducted at the unloading docks, and smoking is strictly prohibited throughout the exhibition hall.

  • No goods, packaging materials, or construction debris shall be stored at the unloading dock.

  • Fire hydrant locations must never be obstructed by goods.

  • Construction personnel must wear personal protective equipment (safety shoes, gloves, hard hats, and contractor identification). Shorts and sandals are prohibited on the job site.

  • The transfer of goods is prohibited in escalator and passenger elevator areas; electrical work must be performed in the presence of ICE venue technical personnel.

  • Directly affixing signage to door panels or wall surfaces is prohibited; all signage must be mounted on freestanding display stands.

06

Booth and Personal Property Security

  • During the exhibition, please keep your identification, cash, mobile phone, laptop, and client information securely stored. When entering or exiting hotels, airports, shopping malls, and exhibition halls, be sure to zip up your personal bag to prevent valuables from being left unattended.

  • Upon the exhibits’ arrival at the venue, ensure timely on-site presence and assign at least one staff member to man the booth during opening hours; verify the number of exhibits at the start and end of each day. After closing, remove all materials related to key clients and, in accordance with regulations, properly cover the booth.

  • If you discover that an item has been lost or stolen, promptly contact the tour leader and venue security. If you need to file a police report, preserve the scene, your order details, and any relevant receipts.

  • Please avoid going alone to remote locations and do not accept unsolicited invitations from strangers.

04

Immigration Clearance Guidelines

🛂 According to the requirements of this year’s official handbook, overseas exhibitors must obtain a C11‑type business visa (for exhibition purposes only). Please apply in accordance with your actual exhibition objectives and verify the visa’s validity period and permitted length of stay. Please do not use a visa on arrival (VOA) to attend the exhibition; VOA is intended solely for tourism, transit, and similar purposes. The business‑visa eVOA (B1) is restricted to attending business meetings, visiting exhibitions, and similar activities. If your purpose is to participate in the trade show—by setting up an exhibitor booth or a display area—you must apply in advance for a C11‑Exhibitor visa. Exhibitors who have not obtained a C11 visa are advised not to remain at their booths for extended periods, to avoid unnecessary complications during random customs inspections. The deadline for submitting visa copies to the organizer shall be as specified in the organizer’s official notice.

Overdue Reminder

Since May 2019, regardless of the type of visa held, any overstay of even one day incurs a fine of IDR 1 million, and travelers must pay the penalty before being allowed to depart.

AllIndonesia Entry Declaration

AllIndonesia has integrated immigration, customs, health, and quarantine declarations into a single online arrival declaration, which must be completed within three days of arriving in Indonesia; it is recommended to submit it well in advance of your departure. After submission, save both the declaration’s QR code and the confirmation record—one copy in your phone’s photo album and another in an offline folder. You can complete the form via the website (allindonesia.imigrasi.go.id), by scanning the official QR code, or by downloading the “All Indonesia” app; the system supports a Chinese-language interface.

⚠️ Note: The AllIndonesia declaration does not substitute for the C11 visa; please verify each separately.

Carry materials with you

Original passport (with at least six months of validity remaining and at least two blank pages), a printed copy of the C11 e-visa, round-trip flight itinerary, hotel reservation confirmation, and the exhibition invitation letter. Please carry all important documents with you at all times; do not place them in checked baggage. Also, keep electronic scans and paper copies on hand.

Exhibit Submission

Personal baggage and exhibition goods must be declared separately in accordance with the applicable requirements. Samples, promotional materials, gifts, and exhibits carried on your person should not be treated as ordinary personal baggage; you must confirm the declaration procedures and any potential customs charges in advance with an official freight forwarder. Please keep the cargo manifest, shipping documents, and customs clearance papers safely, and arrange for the return shipment well in advance.

Local Living Tips

Language: The official language is Indonesian, and English is widely used in business settings.

Time difference: Jakarta and BSD City observe Western Indonesian Time (WIB), which is one hour behind Beijing Time. Bali is on the same time as Beijing.

Weather and Recommendations: In October, Jakarta is in the transitional phase of the rainy season, with hot and humid weather. It’s advisable to pack lightweight, breathable clothing, sun protection, and rain gear, and to check the latest weather forecast before you depart. There can be a significant temperature difference between indoors and outdoors at the exhibition venue, so bring a light jacket.

Voltage/Outlet: Indonesia’s standard voltage is 220–230 V at a frequency of 50 Hz, and the most common outlets are European-style two-round-pin types (Type C and Type F). It is recommended to bring an appropriate adapter plug and to verify the device’s rated voltage and power before connecting it. Household adapter plugs may not be used in place of the exhibition’s electrical distribution system.

Communication method: Before you depart, confirm international roaming and data‑roaming rates with your provider, or arrange local telecommunications services through official channels. When calling a Chinese mobile number from Indonesia, prefix the number with +86. We recommend saving the tour leader’s, your hotel’s, and emergency contact numbers in advance.

Currency: Indonesian rupiah (IDR), with an approximate reference exchange rate of 1:2,500 (subject to the day’s actual official rate). UnionPay cards are accepted at some merchants; it is recommended to carry both a Visa or Mastercard and some U.S. dollars in cash. Exchange a reasonable amount of small-denomination rupiah in advance, verify the amount and currency before swiping your card, and keep your bank card and payment information secure.

Transportation: In Indonesia, vehicles drive on the left side of the road; when crossing the street, be mindful of oncoming traffic. Jakarta and its surrounding roads are prone to congestion, so please allow ample time when traveling between the exhibition venue and the airport. You can book a taxi through the MyBluebird app or use ride-hailing services like GrabCar; be sure to verify the vehicle’s license plate and the driver’s details before boarding.

Customs and Taboos: Respect local religions and customs: use your right hand when shaking hands or handing objects, and refrain from touching others’ heads. When visiting religious sites, be sure to cover your shoulders and knees, and avoid stepping on offerings placed at pathways or near building entrances. Always obtain permission before photographing local residents. Indonesia is a tipping culture; it’s customary to leave a modest tip for services such as hotels, taxis, and shopping malls. It’s advisable to carry some small change.

Shopping and Free Time: Choose reputable vendors whenever possible and keep your receipts; do not purchase protected wild flora and fauna or products derived from them. For free‑time activities, select licensed operators, stay informed about weather conditions, sea state, and insurance coverage, and avoid swimming alone.
